Track business expenses and invoice payments

Use business expense tracking software to preserve the source, amount, date, category and purpose of an expense, then keep incoming invoice payments as separate records.

Definition and example

Definition · 2026-10-12

Payment records and expense records describe different operational events. FollowIncome can record full or partial receipts against invoices and retain expenses with category and project context. Use these records to review outstanding balances and costs, checking dates, amounts and source evidence. A manually recorded receipt does not independently prove bank settlement, and an entered expense does not determine tax deductibility.

A 500 invoice with two recorded receipts of 100 and 150 leaves 250 outstanding; a project expense remains a separate cost record.

Payment records do not perform bank reconciliation. Keep evidence and avoid treating missing entries as zero costs or receipts.

Create an explainable expense record

Capture the amount, date, currency, category, notes and project relationship while the source information is available. Add a permitted supporting file when it helps explain the cost, and follow the retention and privacy requirements that apply to your business.

Connect direct costs to the work

Link an expense to a project when it was incurred for that delivery. This makes a later profitability review more useful while keeping general company overhead distinct from costs attributable to one project.

Track invoice payments separately

An invoice can exist without being paid. Record a full or partial payment only when supported by the relevant bank, processor or other source so the invoice amount, paid amount and outstanding balance remain distinguishable.

Review exceptions

Filter expense and payment reports for missing categories, unexplained balances, duplicate entries or records outside the intended period. FollowIncome organizes entered records but should not be treated as automatic bank reconciliation.

Frequently asked questions

Can I track business expenses and income together?

FollowIncome keeps categorized expense records alongside invoices and recorded payments so you can review outgoing and incoming activity without treating either as automatic bank reconciliation.

Can I attach a receipt to an expense?

A supporting file can be stored with an expense when the file type and size are accepted and you are authorized to retain it.

Can I record partial invoice payments?

Yes. Full or partial payments can be applied to the relevant invoice.

Does FollowIncome connect directly to my bank?

FollowIncome should not be treated as a bank feed or independent reconciliation source unless a configured workflow explicitly supplies provider data.

What should I check before exporting?

Confirm the reporting period, categories, project links and completeness of the underlying expense and payment records.
